Booking & cancellation

These terms cover general and private workshop bookings. Retreats, tour operators, and accommodation partners are covered by separate terms shared with your proposal.

How you book & pay

  • General workshops (set dates on our schedule) — full payment is taken at the time of booking. Your place is confirmed once payment is received.
  • Private sessions (your own date, any group size) — a 50% deposit, due two weeks before your date, confirms your booking; the balance is due the day before. Your date is held once the deposit is received.

Payments & security

Online card payments are processed securely by PayHere, a licensed Sri Lankan payment gateway. Prices are shown in Sri Lankan rupees (LKR). Sarana does not store your card details. Free community sessions simply need an RSVP.

Cancellations & changes

Plans change, and we’ll always try to work with you.

General workshops

  • 48 hours or more before: full refund, less any booking fees.
  • 24–48 hours before: 50% refund.
  • Under 24 hours, or no-show: non-refundable.

Private sessions

  • More than 5 days before: deposit refunded in full.
  • Less than 5 days before: 50% refund.
  • Less than 3 days before: non-refundable.

If we ever need to cancel— for reasons within our control, or for events beyond anyone’s control (weather, disruption, and other force majeure) — you’ll receive a full refund or the option to reschedule, whichever you prefer.

Pricing & group size

Listed prices apply to general workshops and private groups of seven or more. For smaller groups, prices may vary — just ask and we’ll share a tailored rate. Where numbers are large, an experience may be split into more than one session to protect quality; we’ll advise the right structure when you book.

Where we host

Most workshops can be held at your accommodation, provided the space is suitable. Batik and Pottery are held at a dedicated venue. Where your space isn’t viable, we’ll arrange one of our trusted venue partners.

Custom & private sessions

Custom themes or longer immersive sessions are welcome; we ask for at least four days’ notice so we can prepare properly with our artisans. Groups and retreats book on their own dates and are held exclusively once your deposit is received, so different terms apply — we’ll share these with your proposal.

Safety & your wellbeing

Some experiences involve hot wax, kilns, open flame, tools, natural materials, and physical activity. Our artisans guide you throughout; please follow their safety guidance so everyone can take part safely. Tell us in advance of any medical conditions, allergies, injuries, or pregnancy relevant to an experience, so we can advise on suitability and adapt where possible. Participation is at your own discretion and responsibility.

Photography

We may photograph or film sessions for Sarana’s own storytelling and archive. Just tell us before we begin if you’d prefer not to be featured, and we’ll happily accommodate you.

Your creations & our craft

Anything you make is yours to keep. Workshop formats, materials, and our artisans’ techniques and designs remain the intellectual property of Sarana and its partners, and aren’t for commercial reproduction without written agreement.

Governing law

These terms are governed by the laws of Sri Lanka, and any disputes fall under the jurisdiction of the Sri Lankan courts. Full terms apply to every booking and are available on request.
